Terms & Conditions for Artist Participation

These Terms & Conditions outline the roles, responsibilities, and commitments required for artists participating in The Thinking Fund NPC’s Thinking Rabbit and Woodstock Open Studios Project.
By confirming your participation, you agree to abide by the terms set out below.

1. Purpose of Agreement
​
The purpose of this agreement is to establish the terms under which participating artists contribute their creative work, time, and involvement in The Thinking Fund (TTF)’s initiatives to promote youth access to the creative arts and cognitive development.

2. Artistic Standards & Quality Commitment
​

All participating artists are expected to create original, professionally executed artwork that reflects high artistic standards and aligns with the ethos and vision of The Thinking Fund.

TTF reserves the right to withdraw any submission from exhibition, auction, marketing or digital platforms should it not meet the agreed quality standards or brief.
​

Artists must use the Thinking Rabbit or provided canvas or medium for their donated piece.
3. Artist Obligations

By participating in the project, artists agree to:

3.1. Thinking Rabbit Artwork
​

Create and donate an original Thinking Rabbit (or similar) artwork using the supplied base or medium.

Completed artwork will be showcased and auctioned to raise funds for youth education and development.

3.2. Open Studios Participation
​

Open your personal studio to the public OR use the shared Woodstock creative space during the official Woodstock Open Studios weekend.

Engage visitors and promote your work as part of a collective exhibition.

3.3. Creative Youth Workshop
​

Facilitate or co-facilitate at least one free creative workshop at the TTF venue.

All materials will be provided by TTF; artists are expected to donate their time and expertise.
3.4. Mandatory Event Participation
All artists are expected to attend the following events (dates to be confirmed):

Meet & Greet: Connect with the TTF team and fellow participants.

Collaboration Day: Final touches to artworks in a shared creative session.

Exhibition Weekend: Showcase and promote the work during the Open Studios event and support the online auction.
Venue: The Thinking Fund, 3rd Floor, Buchanan Square, 160 Sir Lowry Road, Woodstock
4. Deadlines & Cancellation Policy

All artworks must be completed at the Woodstock venue by the assigned deadline.
​
Once completed and submitted, artworks cannot be retracted from the project.
​
If an artist withdraws after an art piece has been completed, a R1,000.00 non-refundable fee will be charged and the piece can still be retained and sold by TTF and the proceeds used to fund bursaries, programs and/or projects.

5. Registration & Membership Fees
​

Participation in 2025 is free of charge; however, from 2026 onwards, a mandatory annual membership fee will apply for all participating artists.

Grow Your Network
Connect with artists, patrons, and changemakers at exclusive events.
Get Professional Photos
Receive access to high-res images of your artwork and workshop moments.

6. Privacy & Media Usage
​
All artist data will be securely handled in line with POPIA regulations.
​
By participating, you grant permission for TTF to use your name, biography, artwork, and image across social media, web, press, and promotional content in support of the project.
